Job Description:
We are seeking a vibrant and poised Administrative Assistant to the Chairman and Founder of Oakwood Worldwide. The ideal candidate will be a dynamic, energetic and highly organized individual. In this role, the Administrative Assistant is primarily responsible for all personal, business and adventure travel for the Chairman in addition to other administrative tasks in the Executive Suite. Additionally, this position will be required to travel with the Chairman domestically and internationally.

Responsibilities:

• Arrange, coordinate and organize local, national and international travel. This includes charter flights, hotels, car service, restaurants, etc., with frequent last minute travel changes.
• Create highly detailed itineraries, involving the Who, What, When and Where.
• Accurate and speedy note taking via laptop and/or notepad and pen.
• Track, research and follow up on various action items for the Chairman.
• Answer phones and take detailed messages.
• Place calls on behalf of Chairman.
• Research special topics and projects for chairman on internet, etc.
Job Requirements:
Qualifications:
• 5-7 years Administrative Assistant experience, 3-5 years as an Executive Assistant supporting a C-level executive.
• Evening and weekend work is rarely required, though individual should be available to work overtime when necessary.
• Proficient in MS Word, Excel, PowerPoint and Outlook.
• Bachelor’s Degree preferred.

Specific Skill Requirements:
• Understand the nuances of providing administrative support at an executive level.
• Highly organized with detailed follow-up skills.
• Strong interpersonal and communication skills.
• Experienced with supporting an executive who travels extensively and must be comfortable with providing remote support when the executive is physically working in another location.
• Self-starter, self-disciplined, and able to work unsupervised.
• Ability to work through scheduling demands and conflicts with composure and diplomacy.
• Ability to prioritize multiple tasks.
• Ability to travel with little or no notice.
